How to set up ring groups to ring a set of teammates together
A ring group is a named set of teammates, such as Office, Dispatch, or the St. Paul crew. Calls sent to a group ring everyone in it at once. This guide shows admins how to add a group, choose who's in it, see where it rings from, and remove it, and where groups can be used: in a line's ring order, a phone menu option, and when transferring or adding someone to a call.
Before you start
- You need to be an account admin.
Step 1. Open your ring groups
- Step 1.a Click your initials at the top right of the screen, then click Team.
- Step 1.b Scroll down and click Ring groups. Each group shows its members.
Step 2. Add a ring group
- Step 2.a At the bottom of Ring groups, click New group, then type a name in Group name, such as Office.
- Step 2.b Tick the people who belong in the group.
- Step 2.c Click Add group.
Step 3. Change or remove a group
- Step 3.a Click a group's name to open it.
- Step 3.b Change its Group name or tick and clear people, then click Save group.
- Step 3.c Read Rings from to see which phone menus and ring orders use the group.
- Step 3.d Click Remove group, then OK, to delete it. A group still used by a phone menu or ring order can't be removed until you change those.
Step 4. Use a group
- Step 4.a In a line's settings, choose the group in the ring order or as a phone menu option's destination. See Phone menu and call routing.
- Step 4.b During a call, use Transfer or Add someone and choose the group under Ring groups. Everyone in it who answers that line rings.
Questions and answers
Who in a group rings?
Everyone in the group who answers the line the call came in on, on all their devices, within their alert hours. The first to answer takes the call.
Can one person be in several groups?
Yes. Groups are just named sets of people, so anyone can be in as many as you like.
What happens if nobody in the group answers?
The call moves to the next step of the line's ring order, or goes to voicemail if there's no next step.
How are ring groups different from lines?
A line is a phone number. A group is a set of people who can be rung for any line they answer, for example a dispatch team covering three locations.
